Administrative Coordinator
Job Title: Administrative Coordinator
Reports To: COO, PriorityONE

Responsibilities:

  • Performing Administrative Activities — Performing day-to-day administrative tasks such as maintaining information files and processing paperwork.
  • Interacting With Computers — Using computers and computer systems (including hardware and software) to program, backup data, set up functions, enter data, or process information.
  • Getting Information — Observing, receiving, and otherwise obtaining information from all relevant sources, especially recruitment business related information and passing that information to relevant executives
  • Communicating with Supervisors, Peers, or Subordinates — Providing information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.
  • Establishing and Maintaining Interpersonal Relationships — Developing constructive and cooperative working relationships with others, and maintaining them over time.
  • Organizing, Planning, and Prioritizing Work — Developing specific goals and plans to prioritize, organize, and accomplish your work. Should be good at time management and priority management.
  • Communicating with Persons Outside Organization — Communicating with people outside the organization, representing the organization to customers, the public, government, and other external sources. This information can be exchanged in person, in writing, or by telephone or e-mail. Prepare responses to correspondence containing routine inquiries.
  • Documenting/Recording Information — Entering, transcribing, recording, backing up , storing, or maintaining information in written or electronic/magnetic form.
  • Scheduling Work and Activities — Scheduling events, programs, and activities, as well as the work of others.
  • Prepare invoices, status reports, memos, letters, financial statements, presentations and other documents, using word processing, spreadsheet, database, and/or presentation software.
  • Send invoices to the clients and follow up for their fast payments
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
  • Prepare agendas and make arrangements for committee, board, and other meetings, and taking minutes of the meeting.
  • Make travel arrangements for executives and workforce
  • Event management and make arrangement for outings, and offsite assemblies for the company.

Core Competence:

  • At least 2 - 4 years in administration and office management with thorough knowledge of best practices
  • Familiar with Internet and office automation tools like MS Office, and comfortable with using technology in day to day operations
  • Brilliant interpersonal skills, people sensitivity and social skills
  • good written and oral communication, good presentation skills
  • Good self presentation, persuasive with good negotiation skills, and determined approach to handle common office issues
  • Must be well-organized with an eye on detail and thrive in a fast-paced environment with the ability to prioritize workload and manage multiple assignments simultaneously.
  • Effective time management and priority management
  • Ability to work in a results oriented, targets driven environment
  • Good team player, have flair and diplomatic tact to interact with internal team and outside people and build relationships across the industry.
  • Ability to work to earn professional respect by giving and getting best efforts of all involved.
  • Willingness to learn and adapt to new responsibilities.
  • Work efficiently under pressure, juggle tasks and meet deadlines
  • Professional demeanor, ability to work well with the public, and all levels of management and staff.
  • Outgoing and mature personality with good sense of humor

Experience/Education:

  • 2-5 years of good experience in office administration with success in achieving results
  • College degree (UG / PG : any stream) from a very reputed college ( B.Sc ( Information Technology), MCA, MBA, or Technical Engineering degrees preferred.)
